1. Introduction

Lit Celebration Shop Inc. is a party styling studio based in Toronto, Canada. We design and build balloon arches, streamer tables, banner walls, gift wrap counters, kids party packages and venue pack-down services for celebrations across the city. To do that work well, we need to know a little about the people who book with us, and we treat that information with care.

This policy is issued by Lit Celebration Shop Inc., 309 Gilmour Ave, Toronto - M6P 0B7, Canada (CA). The website and the digital tools described in this policy are maintained by LIT Celebration, the developer name used by the studio team. When this policy says we, us or our, it means Lit Celebration Shop Inc. acting through its studio and developer team.

We want you to understand our practices before you share anything with us. Please read this policy together with our Terms of Service. If you do not agree with the way we handle personal information, you should not use the website or send us an enquiry, though you are always welcome to ask us questions first.

2. Scope of This Policy

This policy applies to personal information we collect through our website, through email and telephone enquiries, through booking forms, through site visits and through the event work our crews carry out. It also applies to information you give us in person at the workshop or at a venue.

This policy does not apply to information that is collected by other organisations, including venues, payment processors, delivery partners or social media platforms that you use to reach us. Those organisations have their own privacy practices, and we encourage you to read their policies before sharing information with them.

Some parts of our work are carried out on behalf of a client, for example when we store a guest list so that a gift wrap counter can be staffed. In those cases we act as a service provider to the client, and the client remains responsible for the guest information that they have collected. We still protect that information as described here.

3. Information We Collect

We collect only the information we need to answer an enquiry, quote a build, deliver the work and keep proper records. The categories below describe what we normally collect.

Contact details

Your name, email address, telephone number, postal address and any other contact details you choose to give us when you send an enquiry or confirm a booking.

Event details

The date and time of the celebration, the venue address, the room measurements, the colour choices, the services you have asked for and any notes about access, parking or site rules.

Correspondence

The content of the messages you send us by email, through the contact form or by telephone, including any files you attach such as room plans or inspiration images.

Billing information

Invoices, payment records and the details needed to process a deposit or a final payment. We do not store full card numbers on our own systems. Card payments are handled by a payment provider.

Website usage information

Technical information such as the pages you visit, the time of your visit, the type of device and browser you use, and the website that referred you to us. This information is used in aggregate to understand how the site is used.

Photographs

Photographs of finished builds and of the room before and after pack-down. Where a photograph may include a person, we ask for permission before using it in our portfolio.

4. How We Collect Information

Most of the information we hold comes directly from you. You give it to us when you fill in the contact form, send an email, call the workshop, confirm a booking or speak with a crew member on site.

Some information is collected automatically when you use the website, through standard server logs and similar technical records. Cookies and comparable technologies may also collect information about your visit, as explained in the section on cookies below.

We sometimes receive information from a client, for example when a venue sends us a floor plan and a contact name for the build, or when a client shares a guest count and a list of names for a gift wrap counter. We also receive information from payment providers about the status of a payment, but not the full card details.

If you contact us through a third party platform, that platform may pass us your name, contact details and the content of your message. We treat that information in the same way as information you send us directly.

5. Why We Use Information

We use personal information for purposes that are directly connected to running a party styling studio. Each purpose below is tied to a real part of our work.

  • To answer enquiries and provide quotes for balloon arches, streamer tables, banner walls, gift wrap counters, kids party packages and pack-down crews.
  • To plan and deliver a build, including measuring rooms, ordering materials, scheduling crews and confirming access with a venue.
  • To keep records of bookings, invoices, deposits and payments in line with accounting and tax rules.
  • To communicate with you about a booking, including reminders, changes and follow-up questions.
  • To improve the website, our service descriptions and the way we present our work.
  • To protect our rights, resolve disputes and enforce our Terms of Service.
  • To meet legal and regulatory obligations that apply to a business in Ontario and Canada.

We do not sell personal information. We do not rent contact lists. We do not use personal information for a purpose that is unrelated to the reason it was collected unless the law allows it or we have asked you first.

6. Legal Bases for Processing

Where privacy law requires us to identify a legal basis, we rely on one or more of the following. We rely on your consent when you send an enquiry or opt in to a mailing list. We rely on the performance of a contract when we need information to deliver a booked build. We rely on our legitimate interests when we improve our services, secure the website and keep normal business records, provided those interests do not override your rights. We also process information where we are required to do so by law, for example for tax and accounting records.

You may withdraw consent at any time where consent is the basis for a particular use. Withdrawal does not affect processing that already took place, and it does not affect processing that relies on another legal basis.

7. Cookies and Similar Technologies

Cookies are small text files placed on your device when you visit a website. We use a small number of cookies and similar technologies to keep the site working, to remember basic preferences and to understand how visitors move through the pages.

Strictly necessary cookies support functions such as page navigation and form submission. These cookies do not track you across other websites. Optional cookies, if used at all, help us measure which pages are most useful and improve the content we publish.

Most browsers let you refuse cookies or delete cookies that have already been set. If you block all cookies, some parts of the website may not work as intended. We do not use cookies to build advertising profiles, and we do not share cookie data with advertising networks.

8. How We Share Information

We share personal information only when there is a clear reason and only to the extent needed. The main situations are described below.

We share information with a venue when it is necessary to arrange access, confirm a build window or follow a site rule. We share information with delivery partners when materials or equipment must reach a venue. We share information with payment providers so that a deposit or invoice can be processed. We share information with professional advisers such as accountants when records must be reviewed.

We may also share information where we are required to do so by a court order, a legal request or a regulatory obligation, or where sharing is necessary to protect the safety of a person, the security of a venue or our legal rights. If our business is sold or reorganised, information may be transferred as part of that transaction, and we will require the receiving organisation to protect it in line with this policy.

We never share personal information for another organisation to use for its own marketing without your consent.

9. Service Providers

We rely on a small group of service providers to run the studio. These include website hosting, email delivery, payment processing, accounting software and file storage. Each provider receives only the information needed to perform its task, and each is bound by an agreement that requires it to protect that information.

We choose providers that have reasonable security practices and a clear privacy commitment. When a provider changes, we review the change to make sure the protection of personal information does not fall below the standard described in this policy. Providers are not permitted to use our client information for their own purposes.

10. How Long We Keep Information

We keep personal information only for as long as we need it for the purpose it was collected, or as long as the law requires. Enquiry messages that do not lead to a booking are normally removed within twelve months. Booking records, invoices and payment records are kept for at least seven years to meet accounting and tax requirements in Canada.

Photographs of finished builds may be kept for longer because they form part of our portfolio, but only where we have permission to use them. Site plans and room measurements are kept while they remain useful for a repeat booking, and then securely removed.

When information is no longer needed, we delete it or make it anonymous so that it can no longer be linked to a person. If a secure deletion is not possible, we store the information in a restricted archive until deletion can be completed.

11. How We Protect Information

We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. These measures include restricted access to booking records, password protection on studio accounts, secure connections for the website and regular review of who holds access to client files.

Paper records such as signed plans and site notes are kept in a locked cabinet at the workshop. Digital records are stored in accounts that require a password and, where available, a second form of verification. Crew members receive only the information they need for the build they are working on.

No system is completely secure. If we become aware of a breach that creates a real risk of harm, we will take steps to contain it, notify the people affected and report it to the appropriate authority as required by law.

12. Your Privacy Rights

Subject to applicable law, you have the right to ask what personal information we hold about you and to receive a copy. You have the right to ask us to correct information that is inaccurate or incomplete. You have the right to ask us to delete information that we no longer need, and to ask us to restrict or object to certain processing.

You also have the right to withdraw consent where consent is the basis for a particular use, and to ask us to stop sending marketing messages at any time. To exercise any of these rights, contact us using the details in the final section. We may need to verify your identity before we act on a request.

We aim to respond to a request within thirty days. If a request is complex, we will let you know that we need more time and explain why. If we cannot act on a request, we will explain the reason and tell you about any further step you can take.

13. Privacy for Children

Our website is intended for adults who are arranging a celebration. We do not knowingly collect personal information from children through the website. When a kids party package includes a guest list, that list is provided by a parent, a guardian or a client, and we use it only to run the event.

If you believe that a child has sent personal information to us without the consent of a parent or guardian, please contact us and we will remove the information promptly. We do not use information about children for marketing, and we do not keep guest lists longer than needed for the event and the records that follow it.

14. International Transfers

Some of our service providers may store information outside Canada. When information is transferred across a border, we take reasonable steps to ensure that it receives a comparable level of protection. These steps may include contractual clauses, a review of the provider security programme and a limit on what is transferred.

If you would like to know more about where your information is stored, contact us and we will explain the arrangements that apply to the services you use.

15. Marketing and Communications

We may send occasional news about the studio, such as a new service, a seasonal calendar or a note about early booking. We send these messages only where we have a lawful basis to do so, and every message includes a way to opt out.

You can opt out of marketing at any time by using the unsubscribe link in a message or by contacting us directly. Opting out of marketing does not stop us from sending messages that are necessary to deliver a booking, such as a confirmation, a change of time or a reminder about access.

16. Third Party Links and Services

The website may link to other websites, including venue pages, map services and social media profiles. We do not control those websites and are not responsible for their privacy practices. When you follow a link away from our site, we encourage you to read the privacy policy of the site you reach.

If you choose to contact us through a third party platform, that platform will also collect information about you under its own policy. We receive only the information that the platform passes to us, and we handle it in the way described in this policy.

17. Changes to This Policy

We review this policy from time to time to reflect changes in our services, in the law or in the way we handle information. When we make a material change, we will update the date at the top of the page and, where appropriate, tell clients directly.

The version posted on this page is the current version. We encourage you to check back occasionally, especially before you send us new information or confirm a new booking. Continued use of the website after a change means that you accept the updated policy.

18. How to Contact Us

If you have a question about this policy, a request about your information or a concern about the way we have handled it, please contact the studio. We take privacy questions seriously and will do our best to resolve them quickly.
